Position Summary
Christian Life Assembly is seeking an organized, welcoming, and ministry-minded Administrative Coordinator to support the Maple Ridge Campus Ministry Team. This role serves as the primary administrative presence at the campus, ensuring the smooth operation of day-to-day ministry activities while providing excellent support to staff, volunteers, and guests. The position also includes assisting on Sunday mornings and helping create an environment where people feel connected and cared for.
Salary Range:
$27,000 - $31,500
Key Responsibilities
General Administration
- Welcome and assist visitors, answer telephone calls, emails, and general inquiries.
- Schedule and coordinate campus events, room bookings, and ministry activities.
- Coordinate water baptisms alongside the Care Pastor and Administrative Assistant, including preparing baptism certificates.
- Assist the pastoral team with event administration, Planning Center registrations, communication requests, special projects, and other administrative needs.
- Maintain the campus online calendar, ensuring events, bookings, and ministry activities remain accurate and current.
- Create and distribute a monthly Connect Desk Information Sheet for Sunday volunteers.
- Maintain organized administrative files, records, templates, and ministry documentation.
- Handle confidential pastoral, financial, personnel, and congregational information with discretion.
- Attend weekly staff meetings, record minutes, and maintain the campus staff meeting files.
- Provide supervision, coaching, and performance reviews for the Maintenance position.
- Support ministry leaders and volunteers with Planning Center and Church Center, including training and administrative assistance.
- Compile weekly auditorium attendance reports for submission to the Finance Department.
- Serve as the primary campus contact for facility-related inquiries from building tenants, including Kids By Design and Chrysta Academy.
Guest Connections & Follow-Up
- Process Connection Cards and provide initial follow-up through email and telephone.
- Maintain Planning Center databases and workflows.
- Follow up with first-time guests, prayer requests, Life Group inquiries, water baptisms, and child dedications.
- Forward pastoral care needs to the appropriate campus pastors.
- Ensure guests and attendees receive timely and ongoing communication.
Campus Operations & Volunteer Coordination
- Order and maintain office, hospitality, communion, ministry, event, and maintenance supplies.
- Coordinate volunteer scheduling and administrative logistics for seasonal events including Christmas, Easter, Mother's Day, Father's Day, Remembrance Day, and other campus celebrations.
- Assist with hospitality, volunteer coordination, and logistical support for campus ministries and events.
- Coordinate building maintenance requests with the Maple Ridge Maintenance Team.
Financial Administration
- Submit volunteer and ministry receipts through Hubdoc.
- Process invoices, bills, and service payments accurately and on time.
- Maintain organized financial records and campus finance documentation.
- Liaise with long-term renters including Chrysta Academy and Kids By Design.
- Coordinate external rental inquiries, prepare quotes, and issue rental agreements.
- Ensure weekly offerings are delivered to the Langley Campus.

Qualifications
- Grade 12 graduation.
- Additional training in administration, computers, clerical studies, or theology is considered an asset.
- One to three years of related ministry, administrative, or clerical experience, or an equivalent combination of education and experience.
